Civic Quarters
Self-managed associations

Built for boards who run things themselves.

No property manager, no problem. Civic Quarters gives volunteer boards the tools a management company would use — without the management company.

Explore the Live Sandbox

Your board is volunteers, not staff.

Nobody signed up to chase down dues, retype violation letters, or dig through a PDF of the CC&Rs at 10pm. Civic Quarters automates the repetitive work — notices, reminders, statements, and dispatch — so the hours you give back to the community go toward decisions, not paperwork.

You don't have to be the expert.

Civic Brain reads your governing documents, bylaws, and meeting history and answers rules questions with citations to the exact section. When a homeowner disputes a fine, you're not guessing — you're quoting.

Books that hold up without an accountant on retainer.

Assessments, delinquency workflows, budgets, and reserve tracking are built in, with statements residents can actually read and exports your CPA already knows how to open. Financial governance stops depending on one treasurer's spreadsheet.

Board turnover stops being a crisis.

Every document, decision, ledger entry, and resident record lives in one place with a full audit trail. When the next board takes over, they inherit a working system — not a shoebox and three email accounts.

Try it on a real community, not a slideshow.

The Bali Hai Estates sandbox is a fully populated association — dues, violations, vendors, documents. Poke at it before you commit to anything.

What's included

Every tier includes the full platform. You pay for the size of your association, not for modules.

  • Double-entry general ledger with QuickBooks (IIF) and Xero (CSV) exports
  • ARC requests, violations, voting and board motions
  • Maintenance requests and vendor dispatch by email
  • Reserve study tracking and financial reports
  • Guided data migration from your current platform

Migration and onboarding

  1. Step 1

    Request setup

Tell us your association's name, lot count and board contacts. We confirm your tier and create a private workspace for your community.

  2. Step 2

    Bring your data

Upload the exports from your current platform (TownSq, AppFolio, Buildium, Condo Control, PayHOA or spreadsheets). The migration wizard maps columns for you, and a person reviews anything it is unsure about.

  3. Step 3

    Index your documents

Upload your CC&Rs, bylaws, rules and minutes. Civic Brain indexes them so the board and residents can ask questions and get answers that quote the exact section.

  4. Step 4

    Invite the board, then residents

Board members get access first so you can check balances and settings. When you're ready, residents receive invitations and can pay dues, submit requests and read documents.

Frequently asked questions

No. Civic Quarters is built for volunteer boards that run the association themselves. It handles dues, notices, documents and vendor requests so the board can focus on decisions.

The ledger, statements and reports are generated for you from every payment and charge. Your CPA can open the QuickBooks or CSV exports directly at year end.

Most small associations are set up in a few days: send your resident list and balances, upload your governing documents, and invite the board.

Access is tied to roles, not people. Outgoing members are removed, new members are invited, and every document, decision and ledger entry stays in place with a full history.
